Maximizing Clinic Efficiency

Strategies for Smoother Workflows

Tangible Take Homes

Reducing Admin Burden

  • Start charging for Rx Renewals. The evidence is unequivocal. If not sure how to start, PatientSERV can help.

  • Have a standardized universal fee guide for your Uninsured Services. Again, PatientSERV can help.
  • Set up an online submission portal, as was demonstrated. You can begin small, even just for Rx Renewals to start.

  • Standardize workflows for uninsured forms, including define what big ticket items do not get released until payment is received.

  • Start offering Block Fees. The simplicity of one transaction per year adds even more efficiency.

  • Book a demo with PatientSERV. (Offload admin work to them and generate more revenue for work already being done).

Managing Patient Expectations

  • Make a list of policies you wish you had.
  • Draft those policies. Align and agree as a group.
  • Enforce policies. Exceptions should be rare.
  • If you don’t already have a website, start one.

Communication with Patients

  • Ensure your clinic has the tools for messaging patients back-and-forth individually.
  • Ensure your clinic has the tools to perform mass emails
  • If you use TELUS PS Suite EMR, consider starting a “2-click email patient results” tool, as demonstrated.

  • Book “Peer Leader” sessions with OntarioMD (Free for doctors in Ontario). They can help bring your EMR and communication tools to the next level.

Scheduling & Triage

  • Carve out the first 30-60minutes of your morning to NOT see live patients. Use it for the morning rush and triaging messages, etc.

  • Calculate Your Supply vs Demand (Number of appointments required per each day of week on average). (How many diabetics do you have? Account for that number).

  • In your EMR schedule, look forward over the next year and carve out the 1-2 days after vacations as “Same Day Access”.

  • Look at your Schedule this coming week (or last week). What visits do NOT require to be IN PERSON? Start with 1 type and develop a workflow with your staff for future.

  • Implement your own “Skin Spot workflow” with your staff.

  • Start Online Booking (with caution! as discussed). The companies that offer this technology have the support to get started.

Adjunct Technologies

  • Book a Demo with PatientSERV and explore. See what you may be missing out on.

  • Book a Demo with one of the Adjunct Technology companies and explore.
  • Sign Up for an AI Scribe (Free Trial) and equip your exam rooms with speakers. Just try it for your next few visits.

  • Sign up for ChatGPT and/or Perplexity, and use it in a clinical context this week.

Patient Education & Self-Management

  • Start a website for your clinic. Even the most basic type, then build upon it with time.
  • Ensure you have handouts/resources for the most common topics (in EMR and/or website). Continue to add to your library with time.

Clinic Culture

  • Carve out and Schedule monthly meetings with your staff. Have your Lead Staff member organize, track agenda, and Chair the meeting.

  • Identify one task or decision that you can offload from your responsibilities and empower a delegate to take on. Repeat this monthly.
