How to Get Home by 4pm with Inbox Zero

Tangible Homework

Foundational Concepts

  • Download a time-tracking app. Track your time for 1 week, 1 month, or more.
  • Throughout your next week, identify 2 things you are doing that could be delegated to Staff or Technology. Then implement delegating.

  • Once you know the value of your time, are there meetings you should be declining and/or roles you should step down from?

Scheduling & Triage

  • Carve out the first 30-60minutes of your morning to NOT see live patients. Use it for the morning rush and triaging messages, etc.

  • Calculate Your Supply vs Demand (Number of appointments required per each day of week on average). (How many diabetics do you have? Account for that number).

  • In your EMR schedule, look forward over the next year and carve out the 1-2 days after vacations as “Same Day Access”.

  • Look at your Schedule this coming week (or last week). What visits do NOT require to be IN PERSON? Start with 1 type and develop a workflow with your staff for future.

  • Develop a colour-coded EMR schedule template and implement with your staff.

  • Implement your own “Skin Spot workflow” with your staff.

Use Your EMR

  • Make 2 EMR Stamps. (If you don’t know how, Step One is to Learn How)

  • Learn one new EMR skill (i.e. how to build a stamp; how to make a custom form; how to build a toolbar, how to build a reminder/search).

  • Book a Peer Leader Session with OntarioMD.

  • Find and join a social media forum for your EMR. Ask a question in that forum.

  • Create an EMR Reminder or Search.

Adjunct Technologies

  • Book a Demo with one of the Adjunct Technology companies and explore.

  • Sign Up for an AI Scribe (Free Trial) and equip your exam rooms with speakers. Just try it for your next few visits.

  • Sign up for ChatGPT and/or Perplexity, and use it in a clinical context this week.

  • Book demos with Uninsured Services companies. See what you may be missing.

Patient Education & Self-Management

  • Start a website for your clinic. Even the most basic type. (Coincidentally, I may be starting a project to help doctors get their own websites up and running. Contact me at emr.consulting@stewartmedicine.com if interested!)

  • Ensure you have handouts/resources for the most common topics. Continue to add to your library.

Unclutter Your Head

  • Download a To-Do-List appt. Enter at east 5 “To Do’s” to get them out of your head. Post-date those that are not due today.

  • Gmail users: consider trying Boomerang.

Clinic Culture

  • Carve out and Schedule monthly meetings with your staff. Have your Lead Staff member organize, track agenda, and Chair the meeting.

  • Identify one task or decision that you can offload from your responsibilities and empower staff to take on. Repeat this monthly.
